How Botaura Works, End-to-End
You've seen the individual features. This guide ties them together by following one customer message from start to finish — so you understand exactly what happens between "a customer types something" and "you get a new lead or order." The same flow runs whether the customer is on your website widget or on WhatsApp.
Step 1 — You Train the Bot (once)
Before any customer arrives, you give the bot something to say. You add content — upload documents, crawl your website, or write Q&A pairs — and add your products. Botaura breaks this into small pieces and turns each into a searchable representation so it can later find the right snippet instantly. This is your knowledge base and product catalog.
Step 2 — A Customer Sends a Message
A visitor opens the chat widget on your site, or someone messages your connected WhatsApp number. On WhatsApp, this opens a 24-hour service window during which the bot can reply freely (see WhatsApp Templates & the 24-Hour Window). Either way, the message lands in Botaura tagged to your business.
Step 3 — The Bot Finds the Right Information (RAG)
Botaura uses RAG (Retrieval-Augmented Generation). Instead of guessing, it first searches your knowledge base and catalog for the pieces most relevant to the question, then writes an answer grounded in only those pieces. The result: brand-specific answers, not generic AI chatter — and no made-up facts.
If nothing in your content is a confident match, the bot doesn't bluff. It says it doesn't have that information and offers to connect the customer with your team.
Step 4 — It Replies in the Customer's Language
Your content can be in English while your customer writes in Urdu, Roman Urdu, or Hinglish. Botaura searches your content, finds the answer, and replies in whatever language the customer used — converting Urdu script to easy-to-read Roman Urdu on WhatsApp where that helps.
Step 5 — It Acts on Intent
A good answer is often just the start. Depending on what the customer wants, the bot can:
- Capture a lead — when a visitor shows real buying intent, the bot gently collects name, phone, and email. Lead capture only fires on confident, on-topic replies — never on an "I don't know" fallback — so your leads are genuine. See Lead Capture.
- Take an order on WhatsApp (Business+) — the bot shows relevant products as an interactive list, builds a cart, and sends a Confirm/Cancel message with cash-on-delivery built in. See WhatsApp Orders.
- Hand off to a human — if the customer needs a person, it routes them to your team and notifies you.
Step 6 — Orders & Confirmations
When an order is placed — on WhatsApp or via a connected store (see Store Integration) — Botaura records it and sends the customer a confirmation. If the customer's 24-hour window has closed, that confirmation goes out as an approved template. As you update the order (confirmed → shipped → delivered), status notifications keep the customer informed.
Step 7 — You Get Notified, and the Numbers Update
You don't have to watch the screen. New leads arrive by email and appear in Dashboard → Leads; WhatsApp chats and handoffs show in Dashboard → Conversations; orders show in Dashboard → Orders. Meanwhile your analytics update — messages over time, top questions, conversion metrics — so you can see what customers ask and where you're winning or losing them.
